Job Aid: Serial Gathering Survey
The purpose of this job aid is to walk the Field Engineers (FEs), General Contractors (GCs), and Construction Managers (CMs) through the Serial Gathering Survey functionality in NexsysOne to collect all serialized part numbers on a cell site for capitalization as well as the return and re-submission process.
Completing the Serial Gathering Survey
The user will initially engage with this survey when MA210 (Civil Construction Start) has been actualized in NexsysOne. Serial numbers will not be captured in NexsysOne prior to this milestone.
Serial Gathering Survey via Mobile App
Navigate to the SAQ DISH mobile app. Select the Serial Gathering Survey tile.
Select the Site ID for the site you are looking to capture serial numbers for.
This page will only show sites where MA210 is actualized and the user is the CM/FE/GC assigned to the site.
User can check the status of a survey on a specific site on the right side of the page.
All material that is serialized will populate in a list, with the part number listed first and a part description listed below.
Click on the part you want to attach a serial number to. An empty text box will appear under Serial Number and a scanning icon will appear at the bottom right.
If manually entering the serial number, select the empty box and type in the serial number.
If utilizing the scanning technology, click the barcode icon at the bottom right.
A camera will populate. Hover over the serial barcode until the camera receives the input. A ribbon will appear at the top of the screen with the message: “Code Detected: SN123XYZ”. Click Done once you have confirmed the scanned serial number matches what is physically on the part. Click Continue if you’d like to retake the photo.
When the user selects Done, the app will navigate the user back to the part screen. Confirm once again the entered serial number matches the physical part. Once confirmed, select Save in the top right corner.
Repeat Steps 3 - 5 with the remainder of the parts until all serial numbers are captured in the survey. Any serial numbers captured will automatically be saved in a draft status.
Once all serial numbers are captured, select the Send icon at the top right.
If any parts are left unserialized, a red exclamation mark will appear next to the part and an error message will appear within the parts screen. Users should enter all serial numbers before submitting.
After selecting Send, a pop-up window will show, reminding the user they will not be able to transact on and off of the site other than via Fault Report. Select ‘OK’ to submit.
The Serial Gathering Survey for the site will move into a Submitted status. This will auto-actualize CX430 in the Milestone Progress tab for the site.
Serial Gathering Survey via Desktop
Though you may complete the Serial Gathering Survey on desktop, in practice you will likely use the mobile QAS app. If you are using your phone to complete the survey, proceed to the Mobile portion of the job aid.
Navigate to AssetOne > Serial Gathering Survey
Select the Site ID for the site you are looking to capture serial numbers on
This page will only show sites where MA210 is actualized and the user is the CM/FE/GC assigned to the site
Double-click on the site you are looking to serialize. The Serial Gathering Survey will populate with all of the serial-classified parts that have been transacted onto the site.
Note: The box where the user will enter the serial numbers is a free form text field that also has scanning functionality within the mobile app. Please navigate to the mobile app job aid if using the app.
User will type in the serial number that corresponds to its respective part number.
When partially completing a survey to finish later, select the Save option
This will move the status of the document from Pending → Draft.
The site will remain in this status on your Serial Gathering Survey tab until the survey is submitted
When you have documented all of the serialized parts on the site, select the Submit option.
This will move the status of the document from Pending OR Draft → Submitted.
The green flag signifies that the form has been submitted successfully
Selecting Submit without all fields completed will result in the following error message
If a serial number is already entered in on another survey, the following error message will appear
Sites with any documents in Draft status will be unable to submit the survey and will see the following error message appear
Once the survey is in Submitted status, CX430 will automatically actualize in Milestone Progress.
Transacting Material After Milestone CX430 is Actualized
Any material needing to be transacted off the site after CX430 has been actualized must be transacted via the normal Fault Report process. No manual transactions will be allowed post-actualization of CX430. When a Fault Report is approved, the serial number that corresponds to the part that was Fault Reported will pull off of the Serial Gathering Survey, and therefore the survey must be re-submitted. CX430 will be auto-unactualized during this process, until MA300 is actualized, where CX430 will stay actualized regardless of Fault Reports.
Fault Reports and Transaction Documents
Serial numbers will not be transacted on documents in NexsysOne upon implementation of the Serial Gathering Survey. We will not gather serial numbers in AssetOne until we look to actualize CX430. When looking at a transaction document for a Fault Report, you can select the “Fault Report” button within the document.
The user who is fulfilling the FR must capture the Replacement Serial Number of the new material in the text box
The user replacing the material will confirm that the Replacement Serial Number matches the serial number on the part physically at the site and proceed.
Re-submitting the Serial Gathering Survey
When the Fault Report has been fulfilled and the part has been replaced on the site, the user will navigate to the Serial Gathering Survey tab of AssetOne.
Locate the Site ID you are looking to record the new serial number for.
A site waiting for a FR to be fulfilled to gather serials will live in the Resubmittal Required status.
Open the survey. The Fault Reported part and corresponding serial number will be missing from the survey.
In the case where a Finished Good Cabinet subcomponent is Fault Reported, the serial number for the FG cabinet part will not fall off the survey. You must resubmit the survey once the FR is fulfilled, but you will not be given the option to report on the serial of that subcomponent. These serials are managed through another database.
Enter the serial number of the new part into the survey. Click Submit.
You may use the Fault Report for reference for what the serial number should be. Please confirm the serial on the Fault Report matches the physical serial on the part.
The survey will be re-submitted, and the status will change to Submitted.
CX430 will re-actualize.
