Job Aid: FAQ for Creating Fault Reports

The purpose of this job aid is to answer common questions for GCs onFault Reporting functionality in NexsysOne. The Job Aid to review how to create a fault report can be located here.
Question: I am having issues finding the part number or serial number of my product. What am I doing wrong?
Answer: You first need to check to make sure the proper location on the receive document was selected and that the parts were properly received in N1. To do this, check your latest receive/release document in N1.
Go to the “Documents” tab in “AssetOne”.
Type in the Site ID to filter for the appropriate “Site ID”.
Look at the latest document and the “Ship To” location. This could be the Site ID or a specific GC location.
This “Ship To” location is where the inventory is currently released to.
Make sure this “Ship To” location is selected as the Part Source when creating your fault report.
Click on the latest document to check the inventory that was received to this site.
If the parts were never received to the GC or released to the site, the equipment will not be in the GC or site inventory. Therefore, it will not be returnable. The equipment must be received before a return is allowed.
Question: I keep getting an error message “Failed to perform the action. Please try again.” when I try submitting my fault report. How do I get it submitted?
Answer: There must be spares equipment in the request location for a replacement fault report to go through successfully.
First, check with the FSL manager to see if there are spares available at the warehouse or if there can be inventory added. Once they are added, you can create a fault report for the part.
If the FSL manager does not have spare inventory and cannot add spare inventory, the GC will have to request the CM to create a Supplementary BOM and create a Manual Release Document for the return items. Within the Supplementary BOM, CM should write in the comments “Issues with Fault Report”.
Question: How do I create a Manual Release Document for equipment that does not work with Fault Report?
Answer: This should work the same way parts are released to a site, except it will be released to the FSL in the “Defective” location.
In NexsysOne Locate the Assest One Module and select Documents.
Click the “Create New Document” Icon in the top right hand corner to create a new Release Document.
Fill out the Release Document using the images below.
When selecting “Ship to” ensure to select the FSL location you are returning it to with the word “Defective” in the name
The rest of the form does not need to be filled out however you DO need to click save at the bottom.
Locate the New Draft Release Document under Document in Asset One.
Select Approve.
Question: I submitted a Fault Report but the FSL did not have inventory ready for me. Why was it not set up correctly in N1?
Answer: You must select the part number that you are asking for a replacement, under “Replacement Part Number”. If you do not put the part number, it will create a return document, not a replacement document. Make sure you are entering this information if you expect a replacement item.
